OBJECTIVE

From Disease Treatment to Human Care

A global pharmaceutical company opened a brand new division focusing on treating Non-Communicable Diseases (NCD) in order to improve life expectancy and quality in January 2019. Inspired by their vision: "On the Frontier of NCD Treatment!" the division focused on three principles: 'Patient Focus', 'Pioneering Independence and Autonomy' and 'Enjoying a Good Challenge'.
Therefore, the company envisioned an event that would emphasize their "Fast, Focused and Flexible + Fun" culture. They held a kick-off meeting, NCD town hall meetings and special award ceremonies over the course of the year since opening their new division. To top it all off, looking back on the year, they held an 816 Pax End to End Management Conference in order to promote teamwork and understanding of the new division.

CHALLENGE

Tackling a New Business while Keeping it Fun and Challenging

A new business domain encompasses many different aspects such as business units, personnel, products, vision and culture in comparison to an already existing business, and in order to convey this to each employee – a face-to-face form of communication was evidently necessary. It was of importance to create a common understanding of future strategies whilst keeping the following in mind: 1) profitability and sustainable growth, 2) formulation of growth strategies, 3) digitalization, 4) understanding of business areas, 5) market environment adaptation, 6) employee potential development, and 7) compliance.

Best Performance within a Reasonable Budget

Project Management for the Best Performance
We held weekly meetings with all stakeholders 6 months prior to the conference in order to gain a deep understanding of the collaboration and all steps of the process. This also included understanding of the corporate culture and environment, event background, conference objective, venue selection, challenges and solutions, agenda and contents, content review, food and beverages options, and logistics and accommodation. We outlined a detailed plan and tackled arising issues one by one at a very early stage.
Asia is a growing market in the pharmaceutical industry and many pharmaceutical companies started to expand their investments.

CONTENT

We proposed a unique program that touched upon elements of traditional Asian culture such as tai chi and dance while keeping the participants engaged and focused for long periods of time.
We proposed a carefully selected menu for the gala dinner, as well as for breakfast and lunch.
We set up an awards ceremony for several categories such as Achievements, Compliance and Cultural Exchange etc.
We organized a panel discussion where representatives from different divisions in China and Japan could exchange various insights and created a system for an interactive Q&A session. Furthermore, we planned an interaction-friendly MEET UP for the participants.

OPERATIONS

A Sense of Unity!

We set up a round center stage in the middle of the main venue. We set up a live broadcast with multiple cameras and LED screens. We were able to save costs and deliver high quality by arranging local staff and resources. We arranged operations specialists from Japan and thoroughly rehearsed the event the night before in order to ensure a smooth operation during the actual conference. We delivered the best hospitality to the customers while staying in communication with all stakeholders and following the operations manual.
