When looking for a solution, stakeholders at Siemens India developed several key objectives to guide their search. They needed a strategic program that could drive compliance and efficiency internally across business units as well as a standardized process for managing meetings and events throughout India. Beyond cost savings, Siemens stakeholders also wanted to reduce administrative workloads and reduce associated risks. Improving attendee satisfaction was another important objective.
JTB, a leader in SMM, worked with Siemens stakeholders to define actionable objectives, and then went to work putting together a holistic plan of action. Utilizing their subject matter expertise, JTB consultants developed a plan to centralize operations processes to ensure a seamless workflow and connect disparate areas of the business.
In addition, JTB set up an SMM automated platform, enabling Siemens event planners to track all meetings and events from the request stage to RFP, venue sourcing, invoicing, attendee satisfaction scores and more. Once the platform was set up, JTB provided training to ensure a smooth transition to the new process. Because Siemens Germany recommends the use of Cvent for all meetings and events.
JTB also worked to ensure Siemens stakeholders gained easy access to their program data. In addition to developing a monthly and quarterly review process, JTB implemented real time reports and dashboards, allowing for rapid analysis of program performance. By bringing the program’s data together in one place, Siemens event planners no longer have to spend hours poring over confusing spreadsheets from multiple suppliers. Now, program stakeholders can access everything in one central location, including all aspects of meeting planning, from schedules and registrations to attendee surveys.
