CHALLENGE

When Siemens India determined the need to overhaul its meetings management strategy, it embarked on a journey to find the perfect partner to develop a solution that could reduce costs and bring the organization into harmony with its parent company in Germany.

Given the company’s large area of operations in India, it was relying on a decentralized model spread across various business units. An assorted group of event planners were executing meetings in silos, with few opportunities to develop an efficient operational model. In fact, the complexity of this arrangement necessitated the use of disparate processes to source venues and suppliers.

In addition, the organization lacked visibility into its meetings strategy. The absence of readily available data meant that program stakeholders could not make informed decisions. Stakeholders lacked measures to control expenditures across divisions. To improve its meetings management strategy, Siemens India needed an agency with the technical expertise and competence to replicate the efficient strategic meetings management (SMM) program of its German parent company.

SOLUTION

When looking for a solution, stakeholders at Siemens India developed several key objectives to guide their search. They needed a strategic program that could drive compliance and efficiency internally across business units as well as a standardized process for managing meetings and events throughout India. Beyond cost savings, Siemens stakeholders also wanted to reduce administrative workloads and reduce associated risks. Improving attendee satisfaction was another important objective.

JTB, a leader in SMM, worked with Siemens stakeholders to define actionable objectives, and then went to work putting together a holistic plan of action. Utilizing their subject matter expertise, JTB consultants developed a plan to centralize operations processes to ensure a seamless workflow and connect disparate areas of the business.

In addition, JTB set up an SMM automated platform, enabling Siemens event planners to track all meetings and events from the request stage to RFP, venue sourcing, invoicing, attendee satisfaction scores and more. Once the platform was set up, JTB provided training to ensure a smooth transition to the new process. Because Siemens Germany recommends the use of Cvent for all meetings and events.

JTB also worked to ensure Siemens stakeholders gained easy access to their program data. In addition to developing a monthly and quarterly review process, JTB implemented real time reports and dashboards, allowing for rapid analysis of program performance. By bringing the program’s data together in one place, Siemens event planners no longer have to spend hours poring over confusing spreadsheets from multiple suppliers. Now, program stakeholders can access everything in one central location, including all aspects of meeting planning, from schedules and registrations to attendee surveys.

RESULTS

Siemens India now benefits from an efficient SMM program which delivers cost savings upwards of 20% over the previous program. Company stakeholders are also able to keep on top of regulatory changes as they occur and maintain internal compliance standards. With the right tools, Siemens event planners can ensure every project is fully compliant.

Through the standardization and automation of processes, Siemens India’s SMM became as efficient and effective as that of its German parent company. Importantly, the entire platform, email and phone support options are available in all major Indian languages, reducing the risk of communication barriers. A full stack quality control program ensures any issues that do arise are handled on a proactive basis rather than in a reactive manner.
